You create the meeting in your own meeting service, such as a video call, and paste its link into Naayya. Customers are not sent that link. Each booked customer gets their own Join link instead, and it opens your meeting from 15 minutes before the booking starts until it ends. Your team can see the meeting link. See Join an online class or appointment for the customer side.
Owners and managers can add and change meeting links.
What makes a class or appointment online#
A class or appointment is online when its location is an online location. Create one in Admin > Settings > Locations and choose Online. See Manage Locations and Resources.
- A class: choose the online location as the class's Default location. To move upcoming sessions there, use Edit Future Instances. See Creating Classes and Editing Future Class Instances.
- An appointment: it is online when it is booked at an online location, for example when its service reserves the resource that belongs to that location. See Manage Resources for Services.
Customers see Online instead of an address for these bookings. Cancelling a booking, or cancelling the class, ends its Join link.
Add a link to an online location#
- Go to Admin > Settings > Locations.
- Find the online location, open the location's actions menu and select Edit.
- In the Online meeting link card, paste the link from your meeting service. It must start with
https://. - Select Save meeting link. Meeting link saved confirms it.
The card has its own Save meeting link button. It is not part of Save Changes for the location's other details.
This link is the default for every class and appointment at the location. Open meeting opens the link your customers will reach, so you can check it.
Use a different link for one class, one session or one appointment#
Each of these has its own Online meeting link card. It appears only when the class, session or appointment is at an online location.
- A class: go to Admin > Classes and open the class. The card is at the top of its Settings section. The link applies to every session of the class.
- One class session: open the session from the class's schedule. The card is on the session page.
- An appointment: go to Admin > Bookings, choose the Appointments & resources tab, open the row's actions menu and select Meeting link. For one person the link belongs to that booking. For a group appointment it is one shared link for everyone in the group.
Customers get the first link that exists, in this order:
| Booking | Order |
|---|---|
| A class | The session's link, then the class's link, then the location's link |
| An appointment | The appointment's link, then the location's link |
To go back to the next link in the order, clear the field and select Save meeting link.
Changes apply at once, including for customers who already booked and already have their Join link.
Check before it starts#
When no link applies, the card shows Add a meeting link before the online session starts. A customer who selects Join then sees "The business has not added a meeting link yet. Please contact them." Add and save the link before the booking's Join opens, 15 minutes before it starts.
What customers and instructors receive#
- Customers: Online replaces the address on the class confirmation page, in booking confirmation and reminder emails and in calendar entries. Join is on the confirmation page and in Account > Activity, and in the confirmation emails and the reminder emails sent the evening before, for classes and appointments. It is also in the email that tells a customer the waitlist booked them into a class.
- Starting soon: about 15 minutes before an online class or appointment starts, Naayya emails the customer a Join button. It is on by default. The Online session starting soon row in Admin > Settings > Messages controls it. See Notification Settings.
- Text and WhatsApp: confirmation and reminder messages say the booking is online and keep their usual wording. Where they have a link, it opens the customer's booking or appointments list, where Join is.
- Instructors: the instructor class reminder, sent about 6 hours before the class, shows Online with a link that opens the meeting, so the instructor can open it.
