A class series is the parent container for all instances of a recurring class. This guide covers how to manage your class series settings, extend series to add more classes, archive completed series, and safely delete series when needed.
Accessing class series settings#
- Go to Admin > Classes
- Click on the class series you want to manage
- Click the settings icon (gear) in the top right corner
From here you can access all management options including archiving and deletion.
Filtering classes#
The Classes page provides filtering options to help you manage your class series.
Active and archived tabs#
At the top of the Classes list, you can switch between two views:
- Active tab: Shows all current class series that customers can book
- Archived tab: Shows class series that have been archived
Each tab displays a count of how many series are in that state.
Category filter#
Below the tabs, you can filter by category to find specific types of classes. Each category displays its assigned color for quick visual recognition. Click on category chips to toggle them on or off. To manage categories and their colors, go to Admin > Classes > Categories.
Show archived in calendar#
When viewing the calendar (Admin > Calendar), you can toggle archived classes on or off:
- Look for the "Show archived" toggle in the toolbar
- Turn it on to include archived classes in the calendar view
- Turn it off to hide archived classes (default)
This setting is remembered between sessions.
Editing series details#
You can edit the series name and subheading directly from the class page:
- Click the pencil icon next to the series name
- Make your changes
- Click outside the field or press Enter to save
Changes to the series name apply to all instances and are immediately visible to customers.
Series end indicator#
When viewing a class series, a badge displays when the series is scheduled to end. This helps you stay aware of upcoming series endings so you can extend them before they run out.
The indicator shows different states:
- Gray badge: "Series ends [date]" - The series has an end date in the future
- Amber warning: "Ends in X days" - The series ends within the next 14 days
- Red alert: "Series ended [date]" - The series has already passed its end date
When you see a warning or alert, consider extending the series to add more classes.
Extending a series#
You can add more classes to a recurring series without recreating it from scratch. This is useful when your current series is ending soon or has already ended.
Steps to extend#
- Open the class series you want to extend
- Click the settings icon (gear) in the top right
- Select "Extend Series" from the menu
- If your series has multiple schedule patterns, select which pattern to extend
- Choose how to extend:
- By number of classes: Add 4, 8, or 12 more classes (or enter a custom number)
- Until a specific date: Pick an end date on the calendar
- Review the preview showing the new classes that will be created
- Click "Extend" to add the classes
Quick extend from schedule patterns#
You can also extend directly from the schedule patterns view:
- Click the settings icon on the class series
- Select "View Schedule Patterns"
- Click the purple calendar icon on the pattern you want to extend
- Complete the extension options as described above
What gets created#
When you extend a series:
- A new schedule is created starting from the next occurrence after the current series ends
- New class instances are generated following the same recurrence pattern
- The original teacher and location are applied to all new instances
- New instances start with "pending" status
Archiving a class series#
Archiving hides a class series from customers while preserving all data. You can restore archived series at any time.
When you can archive#
The archive option appears only when all scheduled classes in the series have ended. This prevents accidentally hiding classes that customers might still want to book.
If your series has future classes, you will not see the archive option. Wait until all instances have passed, or cancel remaining future instances first.
Steps to archive#
- Open the class series you want to archive
- Click the settings icon (gear) in the top right
- Select "Archive Class" from the menu
- Read the confirmation dialog
- Click "Archive" to hide the series
The series moves to the Archived tab and is no longer visible to customers.
From the classes list#
You can also archive directly from the Classes list:
- Go to Admin > Classes
- Find the class series in the list
- Click the three-dot menu on the right side of the row
- Select "Archive"
Note: The archive option only appears for series with no future classes.
Restoring an archived series#
You can bring back an archived series at any time.
Steps to restore#
- Go to Admin > Classes
- Click the "Archived" tab to see archived series
- Click on the archived series you want to restore
- Click the settings icon (gear) in the top right
- Select "Restore Class" from the menu
- Click "Restore" to confirm
The series returns to the Active tab and becomes visible to customers again.
From the classes list#
You can also restore directly from the Classes list:
- Click the "Archived" tab
- Find the series you want to restore
- Click the three-dot menu on the right side of the row
- Select "Restore"
Deleting a class series#
Deleting a class series permanently removes it and all its instances from your studio. This action cannot be undone.
When you can delete#
You can only delete a class series if:
- There are no instances with existing bookings
- All bookings have been cancelled or completed
When you cannot delete#
If any instances have bookings, the delete option is blocked. You will see a warning showing:
- The number of instances with bookings
- Total number of confirmed bookings across all instances
Steps to delete#
- Open the class series you want to delete
- Click the settings icon (gear) in the top right
- Select "Delete Class" from the menu
- Read the confirmation dialog carefully
- Click "Delete" to permanently remove the series
Before deleting#
Consider these alternatives before permanently deleting:
Archive instead: Archiving hides the series from customers while preserving all data. You can restore archived series later.
Cancel remaining instances: If you only want to stop future classes, archive future instances instead of deleting the entire series.
Export booking data: Download any booking records you need before deletion, as they will be permanently removed.
Archiving vs deleting#

Use archive when:
- You might offer this class again
- You need to keep historical booking data
- You want to hide the class temporarily
- The series has ended and you want to clean up your active list
Use delete when:
- The class was created by mistake
- You need to completely remove all traces
- No bookings exist and you want a clean slate
Common questions#
Why don't I see the archive option? The archive option only appears when all classes in the series have ended. If you have future classes scheduled, wait until they pass or cancel them first.
What happens to past bookings when I archive? All booking records are preserved. You can view them by switching to the Archived tab and opening the series.
What happens to past bookings when I delete? All booking records are permanently deleted. If you need this data for records or reporting, export it before deleting.
Can I recover a deleted series? No. Once deleted, a class series cannot be recovered. Use archive if you might need the data later.
Why is the delete option grayed out? This means the series has instances with existing bookings. Cancel or complete those bookings first, or use the archive option instead.
How do I see archived classes in the calendar? Toggle on "Show archived" in the calendar toolbar. This setting persists between sessions.
