A session can stop taking bookings for two different reasons: you closed bookings on it, or it is full. Customers and your team now see these as separate states, and Naayya warns you about sessions that are closed while places remain.
This article covers what each state looks like. To close or reopen a session, follow Closing Bookings on a Class. To limit how far ahead or how late customers can book every session, use the class booking window in Booking & Checkout Settings. The booking window applies to all sessions, while Close bookings applies to one.
What customers see#
On class calendars and teacher pages, each session card shows a badge when it cannot be booked:
- Bookings closed when the business closed bookings on that session.
- Fully booked when the number of confirmed bookings has reached the capacity.
In both cases the card's button reads View details instead of Book. Selecting it opens the session page, where a closed session shows a Bookings are closed message in place of the booking options. A closed session does not show Fully booked, even when it is also full.
Cards for a course sold only as a whole enrollment, and for a program, keep their Enroll or View program button. Closing bookings applies to a session that customers can book on its own.
Closing a session asks you to confirm#
When you select Close bookings on a session, a dialog asks Close bookings for this session?. It names the class and the date and time, shows how many places are booked (for example 6 of 8), and says that closing blocks all new bookings and waitlist promotions, even when places remain. Select Close bookings to confirm, or Cancel to leave the session open.
Reopen bookings does not ask for confirmation.
What you see on the session#
On the session page, the roster shows a Bookings closed badge next to the booked count, for example 6/8 booked. A message under it says new bookings are blocked for the session even if places are available. The capacity comes from the session's resource. If it has none, it comes from the location.
In the class list under Admin > Classes, a class whose next session is closed shows a warning icon. Hover over it to read Bookings are closed for the next class.
Closed sessions that still have places#
At the top of Admin > Classes, a warning appears when any publicly listed session in the next 14 days is closed while its confirmed bookings are below its capacity. It reads, for example, 1 upcoming public session is closed with places available. Each line links to the session and shows its name, date, time and how full it is, such as 6/8 booked.
Open the session and decide:
- Select Reopen bookings if the closure was a mistake or no longer applies.
- Leave it closed if the closure is intentional, for example while you sort out a teacher or room.
If Naayya cannot check for closed sessions, the page shows Could not check upcoming booking closures. Refresh the page to try again. Refresh the page. Until the check works, no warning appears, so do not read a missing warning as a clean schedule.
The warning is shown to people who can manage classes. It lists only sessions that are publicly listed and have a capacity set.
Common questions#
Is a full session the same as a closed session?#
No. A full session is full because bookings reached capacity. If a waitlist is on, customers can join it; see Waitlists for Classes. A closed session blocks new bookings and waitlist activity while places may remain.
Why does my session show as closed when it has room?#
Someone closed bookings on that session. Open it and select Reopen bookings. Reopening allows new bookings again where the session is otherwise available.
Does closing cancel the bookings already made?#
