Sending Quick Emails

Quick Email lets you send simple messages to customers without designing templates. Perfect for fast updates, announcements, or one-off communications.

When to use Quick Email#

Use Quick Email for straightforward text-based messages that don't need fancy design. Class cancellations, schedule changes, quick reminders, or simple announcements work well.

For marketing campaigns with images, buttons, and styled layouts, use the Email Designer instead.

Quick Email vs campaigns#

Quick Email is for:

  • Last-minute schedule changes
  • Simple text announcements
  • Quick customer updates
  • Messages where speed matters more than design

Campaign email is for:

  • Marketing promotions
  • Newsletters with multiple sections
  • Emails with images and branding
  • Reusable template content

Both support recipient selection, test sending, and delivery tracking. Choose based on whether you need design or just want to send a message quickly.

Sending a quick message#

Go to Admin > Marketing > Quick Email to start.

Write your message#

Enter a subject line that clearly states the purpose. "Class Cancellation: Friday 6pm Yoga" works better than "Update."

Write your message in plain text. Keep it brief and focused. Line breaks and basic formatting are preserved, but you can't add images or styled layouts.

The message editor supports:

  • Multiple paragraphs
  • Basic line breaks
  • Simple text formatting
  • Links (paste URLs and they become clickable)

Select recipients#

Choose who receives your message:

All customers: Send to everyone in your database.

Select manually: Pick specific customers from the list. Search by name or email to find people.

Recent activity: Filter by customers who've booked recently or own specific packages.

The recipient count shows how many people will receive your message.

Send a test#

Click Send Test and enter your email address. Check that the message looks correct and conveys your intended meaning. Quick emails are plain text, but you should still verify spelling and clarity.

Send to customers#

Review the recipient count and subject line, then click Send. Messages deliver within minutes. Larger recipient lists send in batches automatically.

Message formatting tips#

Keep it short: Quick emails work best for brief messages. If you're writing multiple paragraphs, consider using a designed template instead.

Clear subject lines: Since quick emails lack visual design, the subject line carries extra weight. Make it specific and clear.

Include contact info: End messages with how customers can reach you with questions or concerns.

Use proper spacing: Break text into short paragraphs for readability. Wall-of-text emails get skipped.

Test before sending: Even simple text messages benefit from a test send. Catch typos before customers see them.

Example use cases#

Schedule change:

Subject: Class Time Change - Thursday Pilates

Hi everyone,

Thursday's 7pm Pilates class is moving to 6pm this week only.
Same instructor, same great workout, just an hour earlier.

See you there!

Last-minute update:

Subject: Studio Closed Tomorrow - Weather

Quick heads up: We're closing tomorrow due to the storm.
All classes are cancelled and will be rescheduled.

Stay safe and we'll see you Thursday!

Simple announcement:

Subject: New Class Added - Saturday Morning Flow

We're adding a Saturday 9am yoga flow starting next week.
Book through the usual schedule - no package needed for your first visit.

Tracking quick emails#

Quick emails appear in Admin > Marketing > Campaigns alongside designed campaigns. You can see:

  • Delivery status
  • Open rates
  • Click rates (if you included links)
  • Who received the message

Analytics for quick emails help you understand if customers are seeing your time-sensitive updates.

Limitations#

Quick Email doesn't support:

  • Images or graphics
  • Custom fonts or colors
  • Styled buttons
  • Multi-column layouts
  • Custom HTML

For emails that need these elements, use the Email Designer to create a template.

Best practices#

Use sparingly: Quick Email is for occasional messages, not regular newsletters. Frequent plain-text emails can seem low-effort if that's your only communication style.

Set expectations: If you send both designed newsletters and quick updates, customers will understand the difference. Quick emails signal "timely information" while designed emails feel like "planned campaigns."

Include essential details: Who, what, when, where, why. Quick emails should be informative even without visual hierarchy.

Proofread carefully: Without design to carry the message, every word matters. Read twice before sending.

Consider timing: Quick emails work well for time-sensitive updates. For promotional content, designed campaigns typically perform better.

Quick Email vs Direct Customer Messages#

Quick Email sends to multiple recipients through your marketing email system. For one-on-one customer communication, use the customer's profile page or your regular email client.

Use Quick Email when:

  • Multiple customers need the same information
  • You want delivery tracking
  • The message relates to classes or studio operations

Use direct messages when:

  • Communicating with one specific customer
  • Discussing personal booking details
  • Following up on individual questions
