Send targeted campaigns to your customer base using templates or quick messages. Choose recipients, test before sending, and track performance to see what works.
Starting a campaign#
Go to Admin > Marketing > Send Campaign to begin. You'll choose your email content and recipients before sending.
Selecting your email#
Pick a template from your library or create a quick message. Templates are reusable email designs you've saved. Quick messages let you write simple text emails without a template for fast one-off communications.
Using templates: Select from your saved templates in the dropdown. Preview the template before selecting to confirm it's the right one. The template's subject line pre-fills but you can customize it for this specific campaign.
Quick messages: Skip templates when you need to send a simple text update. Write your subject line and message directly. Quick messages don't have fancy layouts but work perfectly for straightforward announcements.
Choosing recipients#
Select who receives your campaign. You have several options:
All customers: Send to everyone in your customer database. This is appropriate for major announcements or general newsletters.
Select manually: Choose specific customers from a list. Search by name or email to find people. This works well for small targeted groups or following up with specific customers.
Filter by criteria: Target customers based on booking history, package ownership, or other attributes. Send to customers who haven't booked recently, own specific memberships, or fit other segments you define.
The recipient count updates as you make selections. Review this number before sending to ensure you're reaching the right audience.
Sending test emails#
Always send a test before the real campaign. Click Send Test Email, enter up to 10 email addresses, and click send. Tests arrive within seconds.
Check your test email for:
- Subject line clarity and accuracy
- Images loading correctly
- Links working properly
- Mobile layout on your phone
- Overall appearance and readability
- Spelling and grammar
Send tests to team members for feedback on important campaigns.
Reviewing before send#
The campaign summary shows:
- Subject line
- Recipient count
- From address (your verified domain)
- Preview text (first line customers see)
Double-check everything here. Once sent, you can't recall emails.
Sending the campaign#
Click Send Campaign when ready. For large recipient lists, Naayya automatically splits sending into batches. This ensures reliable delivery and maintains good sender reputation with email providers.
Batch sending happens in the background. You'll see progress as batches complete. Small lists (under 100) send immediately as a single batch.
What happens after sending#
Emails typically deliver within a few minutes. Your campaign appears in Admin > Marketing > Campaigns where you can track its performance.
Customers can unsubscribe using the link automatically included at the bottom of every campaign. Naayya manages unsubscribe lists automatically - unsubscribed customers are excluded from future campaigns.
Tracking campaign performance#
View campaign results in Admin > Marketing > Campaigns. Click any campaign to see detailed analytics:
Delivery metrics:
- Total sent
- Successfully delivered
- Bounced (invalid addresses)
Engagement metrics:
- Open rate (percentage who opened)
- Click rate (percentage who clicked links)
- Unsubscribe rate
Good benchmarks vary by industry, but typical fitness studio campaigns see:
- Open rates: 20-30%
- Click rates: 2-5%
- Unsubscribe rates: under 0.5%
Understanding batch sending#
For lists over 100 recipients, Naayya sends in batches of 100. Each batch processes before starting the next. This approach:
- Prevents email providers from blocking your sends
- Maintains deliverability and sender reputation
- Handles temporary failures gracefully
- Provides progress feedback during large sends
Large campaigns might take 15-30 minutes to complete fully. You don't need to stay on the page - batches continue in the background.
Best practices for campaigns#
Timing matters: Send when customers are likely to check email. Tuesday through Thursday mornings typically perform well for fitness studios. Avoid Monday mornings and Friday afternoons.
Clear subject lines: Write subject lines that clearly convey the email's purpose. "Weekend Workshop: Early Bird Pricing Ends Friday" outperforms vague subjects like "Special Offer."
Compelling preview text: The first line of your email shows in inbox previews. Make it count - summarize the main point or benefit.
One clear call to action: Each email should drive one main action - book a class, buy a package, or register for an event. Multiple competing calls dilute effectiveness.
Mobile-first design: Over 60% of customers read email on phones. Ensure your template works well on mobile.
Test with real inboxes: Gmail, Outlook, and Apple Mail can render emails differently. Test in the email clients your customers actually use.
Segment when appropriate: Targeted campaigns to specific customer groups often outperform broad blasts. Send workshop announcements to customers who've attended before rather than everyone.
Consistent schedule: If sending weekly newsletters, pick a day and stick to it. Customers come to expect and look for your emails.
Common sending issues#
Emails going to spam: Ensure your domain is properly verified with all DNS records. Avoid spam trigger words like "FREE!!!" or excessive caps lock.
Low open rates: Try different subject lines, send times, or audience segments. Outdated customer lists also drag down opens.
High unsubscribe rates: You're sending too frequently, content isn't relevant, or customers didn't genuinely opt in. Review your email strategy.
Bounced emails: Clean your list by removing bounced addresses. Some bounce temporarily (full inbox) but hard bounces (invalid address) should be removed.
Quick email vs campaign#
Use the regular campaign flow for:
- Marketing promotions and newsletters
- Scheduled, repeatable communications
- Content you want to template and track
Use Quick Email (Admin > Marketing > Quick Email) for:
- Simple one-off announcements
- Plain text messages without design needs
- Fast updates that don't need templates
Both options support recipient selection and test sending. Choose based on whether you need a designed template.
