Teacher Status Management

Control which teachers appear in schedules and customer-facing areas by managing their active or inactive status. This is how you handle breaks, seasonal teachers, and transitions without losing their data.

Active vs Inactive Teachers#

Active teachers can be scheduled for classes, appear in customer searches, and show up in teacher directories. Inactive teachers are hidden from customers but keep all their historical data, bookings, and payout information - think of it as archiving rather than deleting.

Finding Teachers by Status#

The Teachers page has separate tabs for active and inactive teachers, each showing a count in colored badges. Active teachers appear with full-color cards, while inactive teachers show as grayscale with dashed borders.

Deactivating Teachers#

Use this for teachers taking breaks, seasonal instructors during off-periods, or when someone leaves but you want to keep their records.

To deactivate a teacher:

  1. Go to Admin > Teachers
  2. Find them in the Active Teachers tab
  3. Click the status toggle or three-dot menu
  4. Select Deactivate
  5. Confirm the action

When you deactivate a teacher, they disappear from customer views and can't be assigned to new classes. Their existing assignments stay in place, and all historical data is preserved.

Reactivating Teachers#

To reactivate a teacher:

  1. Go to the Inactive Teachers tab
  2. Find the teacher you want to reactivate
  3. Click Activate
  4. Confirm the action

They'll immediately become available for scheduling and customer searches again. All their historical data stays intact.

What Changes When You Deactivate#

When you deactivate a teacher, here's what happens in different areas:

  • Scheduling: Can't be assigned to new classes, but existing assignments stay in place
  • Customer visibility: Hidden from teacher directories and class listings
  • Payouts: Historical data preserved, but excluded from active calculations
  • Reports: Still appear in historical reports with status filtering available

Before You Deactivate#

Take these steps to avoid issues:

  • Check their scheduled classes and plan coverage if needed
  • Inform your team about the status change
  • Update any marketing materials that mention them
  • Communicate with customers about schedule changes if necessary

Common Scenarios#

Seasonal teachers: Deactivate during off-seasons, reactivate a few weeks before classes resume.

Maternity leave: Deactivate on the leave start date, set a reminder to reactivate when they return.

Role transitions: If a teacher moves to management but stops teaching, deactivate their teacher profile.

Managing Multiple Teachers#

For bulk changes like end-of-season deactivations:

  1. Go to Admin > Teachers
  2. Select multiple teachers using checkboxes
  3. Choose Activate or Deactivate from the bulk actions menu
  4. Confirm the batch operation

This is useful for seasonal transitions, studio reorganizations, or emergency situations.

Common Issues#

Status change not saving: Check your permissions and internet connection. Refresh and try again.

Inactive teacher still showing to customers: Clear your website cache and give it a few minutes to propagate. Double-check they're actually deactivated.

Can't find a deactivated teacher: Make sure you're looking in the Inactive tab and refresh the page. Check if any filters are hiding them.
