    Adding Teachers

    Adding teachers to your studio involves choosing between two approaches that determine how the teacher accesses your system and whether they can see the teacher dashboard.

    Getting Started#

    1. Navigate to Admin > Teachers
    2. Click the Add New Teacher button in the top-right corner
    3. Choose your creation method from the dialog that appears

    Understanding Linked vs Unlinked Teachers#

    The key difference between these approaches is dashboard access:

    • Linked Teachers: Immediately get access to the teacher dashboard when they log into Naayya
    • Unlinked Teachers: Profile-only teachers who cannot log in initially (can be linked later)

    Two Methods for Adding Teachers#

    Method 1: Link to Existing Customer (Creates Linked Teacher)#

    Use this method when the teacher is already a customer in your system and you want them to have immediate teacher dashboard access.

    When to Use#

    • Teacher has previously booked classes as a customer
    • Teacher already has an account with login credentials
    • You want them to access the teacher dashboard immediately
    • You want to maintain connection between customer and teacher profiles

    Steps#

    1. Click Add New Teacher
    2. Select Link to Existing Customer from the dialog
    3. Search for Customer:
      • Type the customer's name or email in the search field
      • Select the correct customer from the search results
      • Verify the customer details are correct
    4. Complete Teacher Profile:
      • Customer information (name, email, profile picture) will be pre-filled
      • Add teacher-specific information (bio, teaching style, etc.)
      • Click Create Teacher to save

    Benefits#

    • Immediate Dashboard Access: Teacher can log in and see their teacher dashboard right away
    • Customer data is automatically inherited
    • Maintains booking history and customer relationship
    • Profile picture and basic info already available
    • Single login for both customer and teacher access
    • Shows "Linked" status badge on the Teachers page

    Method 2: Create Unlinked Teacher (Creates Unlinked Teacher)#

    Use this method for teachers who don't have existing customer accounts or when you don't have their login information yet.

    When to Use#

    • Teacher is new to your studio and doesn't have an account
    • You don't have the teacher's email address yet
    • Teacher will only teach, not take classes initially
    • Creating a contractor or guest instructor profile
    • You want to set up the profile first and link it later

    Steps#

    1. Click Add New Teacher
    2. Select Create Unlinked Teacher from the dialog
    3. Enter Teacher Information:
      • First and Last Name
      • Email address (if available)
      • Phone number (optional)
      • Bio and teaching background
      • Primary teaching style
      • Social media handles
    4. Upload Images:
      • Profile picture
      • Banner/header image (optional)
    5. Click Create Teacher to save

    Benefits#

    • No Dashboard Access Initially: Teacher profile exists but can't log in yet
    • Complete control over teacher profile data
    • No connection to customer account required
    • Can create profiles for external instructors
    • Can be linked later when you get their login information
    • Shows "Unlinked" status badge on the Teachers page

    Required Information#

    Essential Fields#

    • Name: First and last name for the teacher
    • Email: Contact email (must be unique in the system)

    Recommended Fields#

    • Profile Picture: Helps customers recognize and connect with the teacher
    • Bio: Professional background and teaching philosophy
    • Primary Style: Main teaching specialty or focus area
    • Phone Number: Direct contact method

    Optional Fields#

    • Banner Image: Header image for teacher's profile page
    • Instagram Handle: Social media integration
    • Additional Teaching Styles: Secondary specialties

    Best Practices#

    Profile Photos#

    • Use high-quality, professional headshots
    • Ensure good lighting and clear facial visibility
    • Keep images current and representative
    • Maintain consistent style across all teacher photos

    Writing Bios#

    • Keep it concise but informative (100-300 words)
    • Include relevant certifications and training
    • Mention teaching philosophy and approach
    • Add personal touches that help customers connect
    • Use an encouraging and welcoming tone

    Teaching Styles#

    • Be specific about specialties (e.g., "Vinyasa Flow" vs. "Yoga")
    • List primary style first, then additional specialties
    • Match your studio's class offerings
    • Consider customer search preferences

    Profile Completion Tips#

    The system tracks profile completion percentage to help ensure comprehensive teacher profiles:

    • Profile picture uploaded ✓
    • Banner image added ✓
    • Bio completed ✓
    • Primary teaching style set ✓
    • Instagram handle added ✓
    • Full name provided ✓

    Why Complete Profiles Matter#

    • Higher customer trust and engagement
    • Better search and discovery
    • Professional appearance

    Common Issues and Solutions#

    Email Already Exists#

    Problem: "Email address already in use" error Solution:

    • Check if person is already in the system as a customer
    • Use "Link to Existing Customer" method instead
    • Contact them to confirm correct email address

    Missing Required Fields#

    Problem: Cannot save teacher profile Solution:

    • Ensure all required fields (name, email) are filled
    • Check for proper email format
    • Verify no duplicate entries

    Profile Picture Upload Issues#

    Problem: Image won't upload or appears distorted Solution:

    • Use JPG or PNG format
    • Keep file size under 5MB
    • Ensure image dimensions are reasonable (recommended: 400x400px for profile)

    Linking Unlinked Teachers Later#

    If you created an unlinked teacher, you can link them to an existing customer account later:

    1. Go to Admin > Teachers and click Manage on the unlinked teacher
    2. Click the Link Profile button (visible only for unlinked teachers)
    3. Search for and select the existing customer to link
    4. The teacher will then have dashboard access and show "Linked" status

    This is helpful when you create a teacher profile before they have an account, then link it once they sign up.

    Next Steps After Adding#

    Once you've successfully added a teacher:

    1. Set Up Teacher Profile: Complete the profile with detailed information
    2. Configure Access Permissions: Assign appropriate roles and permissions
    3. Add to Schedule: Begin assigning classes and time slots
    4. Set Up Payouts: Configure compensation and payment methods
    5. Link Profile (for unlinked teachers): Connect to existing customer account for dashboard access
