Keep your teacher profiles updated and complete to help customers make booking decisions. Well-maintained profiles build trust and improve your studio's professional appearance.
Accessing Teacher Management#
Go to Admin > Teaching Operations and click the Manage Teaching Profile action on any row. This opens the full teaching profile page where you can edit details, manage status, and handle profile linking.
Editing Teacher Information#
Click the Edit button on the teacher's profile page to modify their information. Update the essentials: name, contact details, and whether they're currently active. The email address must be unique - if you get an "already exists" error, check if they're already in your system as a customer.
Profile Photos#
Upload a professional headshot that shows up on teacher cards and profiles. Choose something clear and approachable since this represents them throughout your studio.
Photo Requirements#
Keep images under 2MB and at least 400x400px. JPG, PNG, and WebP formats work best. Good lighting and clear composition make a big difference in how professional your studio appears.
Uploading Photos#
Click the camera icon or current photo, select Upload New Image, choose your file, and save. The system automatically resizes and optimizes images for you.
Banner Images#
Add header images to teacher profile pages for visual appeal. Use 1200x400px images (3:1 ratio) showing teaching environments or action shots. Keep files under 5MB.
Teacher Bios#
Write compelling bios that help customers connect with your teachers. Aim for 100-300 words covering their background, teaching style, and personality. The bio editor supports basic formatting like bold text, links, and bullet points.
Bio Structure That Works#
Start with a brief introduction, mention relevant experience and certifications, describe their teaching approach, add a personal touch, and end with an encouraging note about booking with them.
Example Bio#
Hi, I'm Sarah! I've been teaching yoga for over 8 years and am passionate about making yoga accessible to everyone.
I'm certified in Vinyasa and Yin Yoga, and completed my 500-hour training with Yoga Alliance. My classes focus on breath awareness and mindful movement, creating a supportive space for students of all levels.
When I'm not on the mat, you'll find me hiking, reading, or experimenting with new plant-based recipes. I believe yoga is a journey of self-discovery, and I'm here to support you every step of the way!

Social Media Links#
Add Instagram handles to give customers more ways to connect with your teachers. Enter the username without the @ symbol - the system creates the link automatically and displays an Instagram icon on their profile.
Linking Unlinked Teaching Profiles#
If you have an unlinked teaching profile (shows the Unlinked badge), you can connect it to an existing staff member to give that person teaching access.
When to Link a Profile#
- The teaching profile already exists but the person has now accepted or created an account
- You want the staff member to log in and use the teaching workspace
- You need to connect a legacy teaching profile to the correct staff member
- You are cleaning up an unlinked profile after onboarding
How to Link a Profile#
- Open the teaching profile from Admin > Teaching Operations
- Open the profile actions menu
- Click Link Staff Member
- Search by name or email
- Select the correct staff member
- Confirm the link
After Linking#
- The Unlinked badge disappears
- The staff member can use the teaching workspace when they sign in
- The teaching profile is now attached to a real staff account
Profile Completion#
The system tracks completion based on six factors: profile picture, banner image, bio (minimum 50 characters), primary teaching style, Instagram handle, and full name. Complete profiles build customer trust and improve booking rates.
Advanced Settings#
Control profile visibility and SEO settings. Enable public profiles to let customers view detailed teacher pages, customize profile URLs, and manage what contact information is publicly visible.
Managing Multiple Teachers#
For larger studios, consider creating photo guidelines and bio templates that teachers can customize. Regular profile audits help maintain consistency across your team.
Managing Teacher Status#
From the teacher profile page, you can:
Activate/Deactivate Teachers#
- Activate: Makes teacher visible to customers and available for scheduling
- Deactivate: Hides teacher from customers while preserving all data
Profile Connection Status#
- Linked: Teacher can access dashboard (shows green "Profile Linked" badge)
- Unlinked: Profile exists but no dashboard access (shows Link Staff Member in the actions menu)
Archiving vs Deleting Teachers#
You can't permanently delete teacher profiles - instead, deactivate them to archive their information. Deactivated teachers are hidden from customers but retain all their data, booking history, and payout records. This preserves important business records while removing them from active operations. Common Issues#
"Image too large" error: Compress your image below 5MB or resize to recommended dimensions.
Images look blurry: Use high-resolution source images and maintain proper aspect ratios. Avoid heavily compressed files.
Rich text formatting not saving: Use the editor's built-in tools rather than copying from external sources. Some special characters can cause issues.
Changes not showing: Make sure you clicked "Save Changes" and try refreshing your browser. Check the admin panel first to confirm changes saved properly.
Can't link profile: Ensure the staff account exists in your studio and that you are selecting the correct person. If the person still needs access, invite them from Admin > Staff first.
