Access the appointments dashboard#
- Go to Admin > Appointments
- The dashboard shows your appointments organized by date
The main view displays appointment statistics and a calendar-style list of bookings.
Understand appointment statuses#
Each appointment has a status indicating its current state:
- Confirmed: The appointment is booked and scheduled
- Completed: The appointment has taken place
- Cancelled: The appointment was cancelled by you or the customer
- No Show: The customer did not attend
Status badges appear next to each appointment for quick scanning.
Filter appointments#
Use filters to find specific appointments:
- On the dashboard, locate the filter controls
- Filter by:
- Date Range: Use the month navigation to view different periods
- Status: Show only confirmed, completed, or cancelled appointments
- Service: Filter by appointment type
- Provider: Show appointments for a specific staff member
- Results update automatically as you select filters
View appointment details#
- Find the appointment in the list
- Click on the appointment row
- View details including:
- Customer name and contact information
- Service booked
- Date and time
- Assigned provider
- Any notes or special requests
- Payment status
Edit appointment details#
For minor changes that don't affect timing:
- Open the appointment details
- Click Edit
- Update fields like notes or assigned provider
- Click Save
For time changes, use the reschedule function instead to properly update availability.
Mark an appointment as completed#
After the appointment takes place:
- Open the appointment details
- Click Mark as Completed
- Confirm the action
Completed appointments move to your history and free up any held resources.
Handle no-shows#
If a customer doesn't attend their appointment:
- Open the appointment details
- Click the status dropdown
- Select No Show
Tracking no-shows helps you identify patterns and potentially apply policies for repeat offenders.
View appointment statistics#
The dashboard header shows key metrics:
- Total: All appointments in the selected period
- Confirmed: Upcoming scheduled appointments
- Completed: Appointments that have taken place
- Cancelled: Appointments that were cancelled
Use these numbers to understand your booking volume and trends.
Search for appointments#
To find a specific booking:
- Use the search field at the top of the dashboard
- Enter the customer name, email, or booking reference
- Results filter as you type
Search looks across all appointment fields to help you locate bookings quickly.
