What are locations#
Locations are the physical or virtual places where your classes and appointments take place. Each location can have its own address, contact details, and resources like rooms or equipment.
If you operate from a single studio, you likely need just one location. Multi-location businesses can set up each branch separately.
Create a location#
- Go to Admin > Locations
- Click New Location
- Enter the location details:
- Name: A clear identifier (e.g., "Downtown Studio")
- Address: Street address, city, state, and postal code
- Phone: Contact number for this location
- Timezone: The timezone where this location operates
- Click Save
Add an image to a location#
Location images help customers identify your spaces.
- Go to Admin > Locations
- Find the location and click the menu icon
- Select Upload Image
- Choose an image file from your device
Supported formats: JPG, PNG, WEBP. Maximum file size: 5MB.
What are resources#
Resources are bookable spaces or equipment within a location. When you assign a resource to a class or appointment service, the system prevents double-booking by checking resource availability.
Common resource types:
- Room: Treatment rooms, yoga studios, training spaces
- Station: Workstations or designated spots
- Equipment: Machines, tables, or specialized gear
- Chair: Hair styling chairs, treatment chairs
- Virtual: Online meeting rooms or video call slots
- Space: General-purpose areas
Add a resource to a location#
- Go to Admin > Locations
- Click on the location to expand it
- Click Add Resource or the plus icon
- Fill in the resource details:
- Name: A clear identifier (e.g., "Yoga Room A")
- Type: Select the resource type
- Capacity: How many people can use this resource at once
- Image: Upload a photo of the resource (optional)
- Click Save
Create portable resources#
Some resources like equipment or virtual meeting rooms are not tied to a specific location. These are called portable resources.
- Go to Admin > Locations
- Scroll to the Portable & Virtual section at the bottom
- Click Add
- Configure the resource details
- Click Save
Portable resources appear in the scheduling system regardless of which location is selected.
Edit a location or resource#
- Go to Admin > Locations
- For locations: Click the menu icon and select Edit
- For resources: Click on the location to expand it, then click the pencil icon next to the resource
- Make your changes
- Click Save
Deactivate a location#
Deactivated locations remain in your system but are hidden from scheduling. Existing bookings are not affected.
- Go to Admin > Locations
- Find the location and click the menu icon
- Select Deactivate
To reactivate, click the menu icon and select Activate.
Archive a location#
Archive locations you no longer use but want to keep for historical records.
- Go to Admin > Locations
- Find the location and click the menu icon
- Select Archive
Archived locations move to the Archived tab. To restore an archived location:
- Click the Archived tab
- Find the location and click the menu icon
- Select Restore
Duplicate a location#
Create a copy of an existing location with all its settings.
- Go to Admin > Locations
- Find the location and click the menu icon
- Select Duplicate
The new location is created with "(Copy)" added to the name. Edit it to customize the details.
Delete a resource#
Before deleting a resource, ensure no upcoming classes or appointments depend on it.
- Go to Admin > Locations
- Click on the location to expand it
- Find the resource and click the trash icon
- Confirm the deletion
Deleted resources cannot be recovered. Consider deactivating instead if you might need the resource again.
