# Manage hardware

Owners and managers use **Admin > Settings > Hardware** to record devices and entrances at each location. **Devices** lists printers, cash drawers and readers by location and place. **Entrances** stores who may enter and when.

## Availability

**Hardware** appears in the **Finance** section of **Admin > Settings** once **Products › In person** or **Sales points** is on in **Admin > Settings > Offerings**, even before you record a device. See [Turn selling on](/help-center/offerings-settings#turn-selling-on). Only owners and managers see it. Until then, Hardware and the **Hardware here** list on a location's page do not appear.

Saving a device records its details. Epson and Star cloud receipt printers connect when you paste their printer address into the printer (see [Connect a cloud receipt printer](#connect-a-cloud-receipt-printer)). Live entrance checks are not available yet; their controls explain this on the page.

## Add a device

Add the location first in [Locations](/help-center/managing-locations). A device belongs to one location and may also sit at a sales point, resource or entrance there.

1. Open **Hardware > Devices** and select **Add device**.
2. Choose the **Device type**, such as **Receipt printer** or **Cash drawer**.
3. Choose the **Brand and connection**, then the **Model** where a model list is available.
4. Enter a **Name** of up to 60 characters. Choose its **Location** and **Place**.
5. If it is connected to another device, choose that device. A cash drawer must have a **Connected printer**. A receipt printer can also be linked to a POS iPad at that location.
6. Follow the connection instructions and enter the settings shown. For a cash drawer, choose the drawer pin specified by its installer. Select **Save device**.
7. The final step confirms that the device was saved and says what to do next. For a cloud receipt printer, connect it as described below. Select **Close**.

A brand awaiting vendor approval shows **Talk to us**. You can ask about support for it, but cannot save that driver yet.

## Record your own card terminal

If your business takes cards on a terminal of its own, from any provider, record it here. A payment taken by **Own card reader** can then say which terminal took it, and the shift report totals each terminal. Naayya does not connect to the terminal and receives nothing from it. It keeps the name you give it.

1. Select **Add device** and choose **Card reader** as the **Device type**.
2. Under **Brand and connection**, choose **Own card reader (no connection)**. You can type the terminal's make under **Model (optional)**.
3. Enter a **Name** staff will recognise, such as "Bar terminal". Choose its **Location**. Under **Place**, choose the sales point it is used at, or leave **Location only** for a terminal every sales point of that location uses.
4. Select **Save device**. There is no connection to choose and nothing to test.

The terminal shows **Own card reader** and **No connection needed**. Staff see it the next time they take a payment by **Own card reader**. See [Say which terminal took a card payment](/help-center/point-of-sale#payment-methods-say-which-terminal-took-a-card-payment).

You can rename, move or disconnect a terminal at any time. Payments it has already taken keep the name it had when they were taken. A disconnected terminal is no longer offered at the till.

## See devices and connections

Each device shows its name, model or brand, status and connection. **Not connected yet** means Naayya has not received a report from the device. Your own card terminal shows **No connection needed**, because Naayya never connects to it. **Online** means it checked in within the last two minutes, **Offline** that its last report is no longer recent, and **Needs attention** that it reported a problem such as an empty paper roll. Saving details or rotating a token does not mark a device online.

POS iPads appear in a separate, read-only list. Manage their sales-point assignments in [Sales Points](/help-center/manage-sales-points).

A location's edit page has a **Hardware here** list; **Manage hardware** opens the Hardware page for that location. On **Sales Points**, the **Hardware** column lists the devices placed at each sales point.

## Edit, move or disconnect a device

Open the device's actions menu.

- **Edit device** changes its name, place, connections and settings.
- **Move** chooses another location or place. Moving to another location clears that device's printer and POS iPad connections; reconnect it after moving.
- **Disconnect** removes the device from the working list, makes it inactive and revokes its tokens. Confirm **Disconnect**. This does not operate the physical hardware or automatically disconnect other devices linked to it; move or reconnect those devices separately.

If a linked device was disconnected, the page identifies that connection as **Disconnected device** or **Disconnected POS iPad**.

## Connect a cloud receipt printer

An Epson printer with Server Direct Print (TM-T88VI, or TM-T88V with a UB-E04 interface) or a Star printer with CloudPRNT (such as the mC-Print3) fetches receipts from Naayya over the internet. Nothing needs installing at your business.

1. Add the printer with **Add device**: choose **Receipt printer**, then **Epson · Cloud printing** or **Star · Cloud printing**, and place it at the sales point it serves.
2. Open the printer's actions menu and choose **Rotate token**, then select **Rotate token** in the dialog.
3. Copy the **Printer address**. It is shown once and disappears when you close the dialog. Keep it private: anyone with it can collect that printer's receipts.
4. Open the printer's own web settings page. On an Epson printer, turn on **Server Direct Print** and paste the address as its URL. On a Star printer, turn on **CloudPRNT** and paste it as the server URL.
5. Wait for the printer to show **Online** on the Hardware page, then choose **Print test page** in its actions menu.

A job waits for the printer to check in. A job the printer has not collected within 10 minutes is dropped, so a printer that comes back online later does not print old receipts. If you think the address was shared, choose **Rotate token** again and paste the new address: the old one stops working immediately.

To open a cash drawer from a cloud printer, add the drawer as a **Cash drawer** with that printer as its **Connected printer**.

## Print receipts from the web POS

At **Admin > POS**, choose **Print** under **Receipt** before you complete checkout or close a tab. The receipt prints at the printer's next check-in. POS offers the printers placed at the sales point you are selling at, or for a tab the sales point it was opened at, and the printers placed at no sales point, so a receipt never prints at another bar. With more than one, choose which under **Print on**. The computer remembers the choice, so later sales start at **Print**. Choose **No receipt** to stop. See [Give a receipt](/help-center/point-of-sale#give-a-receipt).

To print a receipt for a sale that had none, choose a printer under **Paper receipt** on the sale's confirmation.

The paper receipt shows the same amounts, VAT and invoice number as the emailed receipt. When the sale was paid in cash and the printer has a connected cash drawer, the drawer opens once for that sale. The drawer opens with the printed receipt, so a cash sale with **No receipt** or **Email** does not open it. A card or other payment, printing an older sale again, or printing the same sale on a second printer never opens a drawer. Every drawer opening is recorded.

## Rotate a device token

Some devices use their own token, including cloud printers and entrance devices. They never need a staff login. For a cloud printer the token is part of its printer address (see above).

1. Open the device's actions menu and choose **Rotate token**.
2. Review the warning, then select **Rotate token** in the dialog.
3. Copy the token, or the printer address, and keep it private. It is shown once and disappears when you close the dialog.

The previous token stops working immediately. Closing the dialog before selecting **Rotate token** changes nothing.

## Add an entrance

1. Open **Hardware > Entrances** and select **Add entrance**.
2. Enter a **Name**, choose its **Location** and **Type**.
3. Choose who may enter: **Active members**, **Valid pass holders**, or **People booked today**. For active members only, leave the other two options off.
4. Turn on **Limit to opening hours** to choose days and opening periods. With the limit off, the saved rule has no hours restriction.
5. Choose whether an allowed entry should check in a booking, and what the hardware should do when Naayya cannot answer.
6. Select **Save entrance**.

These settings save the entrance rules. Live entry checks must be enabled before the rules can decide access or check in bookings. Emergency exits and fire release remain the responsibility of the hardware and its installer.

To rename an entrance or change its rules, choose **Edit entrance** in its actions menu. To remove it from the working list, choose **Archive** and confirm. Move devices placed at that entrance before archiving it; archiving the entrance does not move or disconnect those devices.
