# Editing Future Class Instances

Change the time, location or instructor for upcoming class sessions, or review archive options

# Editing Future Class Instances

Use **Edit Future Instances** to change several upcoming sessions of one class. It can update their time, location or instructor, or archive or restore sessions. It does not change the class's price, purchase options or description.

## Accessing edit future instances

Open a class from **Admin > Classes**, then use its settings menu to select **Edit Future Instances**. You can also open a scheduled session and choose **Edit Future Instances** from its settings menu.

## How it works

Choose one action, set a new value if needed, select the date range, and review the affected sessions before confirming.

### Step 1: Select an action

Choose **Time**, **Location**, **Teacher**, **Archive** or **Restore**. The edit applies to sessions of the class you opened, within the date range you select.

### Step 2: Set the new value

For **Time**, enter the new start and end times. For **Location**, choose the destination location and check any required room or space assignment. For **Teacher**, choose the new instructor. **Archive** and **Restore** do not need a new value.

### Step 3: Choose the date range

The first date defaults to today. Set an end date for a bounded period, or leave it as **No end date** to include all future sessions from the first date. The page shows the affected count and a preview of the dates. Check the count before continuing.

### Step 4: Confirm and apply

Select the action button, then read the confirmation dialog and confirm. For a time change, check the result message and review any session the update rejects or reports as a conflict. Return to the schedule and verify the dates that matter to you.

## Booking warnings

The page checks affected sessions for existing bookings and displays warnings. Review those bookings before changing a time, location or instructor.

### Customer communication required

The bulk edit does not automatically notify booked customers about a changed time, location or instructor. Contact affected customers yourself and verify the updated session details before sending them the new information.

### Archive blocked

On **Edit Future Instances**, **Archive** is unavailable when affected sessions have bookings. Review and resolve those bookings before attempting that action. This is separate from the Schedule section's multi-select **Archive**, which has its own cancellation warning and outcome.

## Common scenarios

### Changing a teacher's schedule

Choose **Teacher**, select the replacement instructor, set the date range and confirm. Review the affected sessions and contact customers with bookings. For substitutes and instructor assignments, see [Teacher Assignments](/help-center/teacher-assignments).

### Moving classes to a different location

Choose **Location**, select the new location and confirm the date range. Check any required room or space and tell booked customers where to go.

### Archiving cancelled classes

Choose **Archive** and review the affected dates. If the page blocks the action because bookings exist, resolve those bookings first. Archiving hides sessions from customers; it is not a way to notify them about a cancellation.

### Restoring archived sessions

Choose **Restore**, set the date range and confirm. Review the schedule and customer visibility after restoring a session.

## Bulk archive from the Schedule section

The class's **Schedule** section also lets you select several sessions and choose **Archive**. This is a different action from **Edit Future Instances**. It can affect sessions that already have bookings, so read its confirmation carefully.

### Selecting multiple sessions

In **Schedule**, select the checkboxes beside the sessions you intend to archive. The action bar shows the number selected. Select **Archive**, then review the confirmation before continuing.

### What happens to bookings

If selected sessions have confirmed bookings, the confirmation warns that those bookings will be cancelled and customers refunded and notified by email. Check the final result and the affected bookings after the action. Do not assume every payment returns to the same method or that every notification was delivered without checking its outcome.

If you need to reschedule people or choose a different resolution for their bookings, handle that before archiving. For one session that only needs to stop new bookings, use [Close bookings](/help-center/closing-bookings).

## Important notes

- Check the selected date range and affected count before confirming.
- Changes to time, location or instructor do not send customer notifications automatically.
- An archive in **Edit Future Instances** is blocked by existing bookings; a Schedule multi-select archive shows a separate cancellation warning.
- Review the result and the customer-facing schedule after each bulk change.
